1. Give the transition a named coordinator
Identify who will speak with the outgoing tenant, attend the handback, obtain repair quotes and conduct viewings. It may be the same person, but each task needs an explicit owner. Tell your coordinator how to request decisions while you are in another time zone and which work needs your written approval.
Create a short schedule with three different dates: expected handback, target completion of preparation and earliest proposed move-in. Mark the latter two as provisional until the condition and work programme are known. A contractor appointment or material delivery can affect the schedule; record that dependency instead of assuming that every job can start on the same day.

2. Record the handback before changing the apartment
Gather the original inventory, available move-in photographs, repair history and relevant correspondence. At the agreed handback, record the date, attendees, keys and access devices returned, meter readings and the apartment’s visible condition. Use wide photographs and close-ups with room names so that a remote owner can follow the record.
Describe observations precisely: “cupboard hinge loose” is more useful than “kitchen damaged”. If the records disagree, preserve both versions and identify the point requiring clarification. Missing evidence should be marked as missing. Do not turn a photograph into a conclusion about who is financially responsible.
Keep any outstanding account questions in a separate list. A handback record, a repair quote and an agreed financial settlement serve different purposes; completing one does not establish that the others are settled. 3. Build a work list that can be approved
Inspect the vacant apartment before commissioning cosmetic work. Have signs of leaks, recurring damp or faulty systems assessed by the appropriate specialist. Covering a mark with paint is not evidence that its cause has been fixed. Then distinguish functional repairs from presentation choices and optional improvements.

Agree the order of work with the contractor. Cleaning usually belongs after dusty work, and listing photographs should reflect the completed condition. Use the rent-ready checklist for the detailed room and inventory checks rather than repeating them in several files.
4. Refresh the letting brief
An old listing is a starting point, not a current description. Check the furnishings, appliance inventory, building dues information and availability again. Remove items that will not remain. Update photographs after changes and distinguish confirmed facts from work still proposed.
Review the asking rent against genuinely comparable current properties, allowing for condition, building and furnishing differences. Asking prices are not achieved rents. Agree when feedback from enquiries and viewings will be reviewed, and what evidence would prompt a change in price or presentation. Avoid changing several things at once without recording why.
Before promising a move-in date, confirm the actual handback and the status of essential work. Be clear about who handles enquiries and owner approval of the selected applicant.
5. Open a new file for the incoming tenant
Keep the outgoing record intact. The next tenancy needs its own dated condition record, inventory, keys and meter readings, plus the agreed documents and any specifically identified outstanding work. Do not silently replace the old photographs with new ones; the dates distinguish two different starting points.
